Everyone's all about 'best tools for cold outreach' but ask what they actually pay and you get crickets. So here's my monthly damage running about 180 inboxes across six clients.
Inboxes: ~$840/month. Split between PuzzleInbox for Google Workspace and MailForge for Outlook. Tried the cheap route early on - replacing suspended accounts every other week cost more in lost time and disrupted campaigns than just paying for decent ones from the start.
Sending platform: $97/month on Instantly's hypergrowth plan. The $37 growth plan is fine if you're just starting, but contact limits get tight once you're juggling multiple clients.
Data: $49/month for Apollo basic. Handles maybe 80% of list building. Annual billing locks that rate in.
Enrichment: $185/month for Clay on the launch plan. Not cheap and the learning curve almost made me cancel twice. But the targeting difference between a raw Apollo export and an enriched list is night and day in reply rates.
Verification: ~$30/month for Million Verifier. Boring but skip it and your bounces will wreck everything else on this list.
Backup data: $69/month for RocketReach essentials - used mostly as a lookup tool for individual contacts when Apollo doesn't have what I need.
Total: roughly $1,270/month for an operation doing about 2,000 sends per day.
What's your monthly cost at a similar volume? Curious if I'm overpaying somewhere or if there's a tool worth adding that I'm missing.
