Three weeks of nights building what I thought was the perfect cold email machine. Tested inbox placement last night. Every single email went to spam.

Running solo, selling to small businesses in the US and Canada. This is half a rant, half a genuine cry for help.

Built the entire pipeline myself, not bought-a-tool-and-pressed-start:

Pulled leads city by city and ran every one through MX and mailbox verification. If a lead couldn't be verified it never got emailed, period.
Studio-level dedup so no business ever got two emails from me.
Fit check on every lead's website so I wasn't pitching wedding photographers on real estate.
Personalized first line for each one. Actually read their sites.
SPF, DKIM, DMARC all set up and passing.
Plain text. No links, no tracking pixels, no images, no 'quick question 🚀' garbage.
80 to 100 words, one clear question, an honest unsubscribe line.
Follow-ups threaded as real replies, sent at 9am in their timezone, weekdays only.

Sent maybe 35 to 45 a day for two weeks from my main domain, a proper .com. Reply rate under 1%. So I did what everyone tells you to do and assumed the copy sucked. Rewrote subject lines. Rewrote openers. A/B tested. Reworked the offer. Made it a free sample. Made it pay-only-if-you-like-it. Still nothing.

Then I finally ran a proper inbox placement test: exact copies of real emails into my own Gmail accounts.

All of them spam.

mail-tester gave it a perfect score. 'Wow! Perfect, you can send.' Auth passing, content clean, sending IP on a good-sender whitelist. Clean .com, clean email, and Gmail still bins it. Turns out two weeks of cold volume off my main domain torched its reputation, and nothing I could see told me that.

Fine, at least my second project is safe, I thought. Totally separate domain, warmed for two weeks, never sent a single cold email. Tested it too.

All spam again.

That one scored under 6 out of 10, and every point lost was the domain itself. Bought a cheap .xyz for it because it was cheap, and spam filters treat .xyz as untrustworthy by default. Zero points lost on content. Two weeks of warm-up can't fix a domain choice.

So for two weeks, 'my copy isn't converting' was really 'nobody ever saw my copy.' Every rewrite, every A/B test, every late night tweaking a subject line was repainting a car with no wheels.

Now I'm buying separate .coms just for cold email, starting the warm-up over, and my main domain goes back to talking only to actual clients. Demoralizing though. Feels like the game is built for companies that can afford ten domains, thirty inboxes and a deliverability consultant, while someone doing everything by the book still gets binned for reasons nobody warns you about.

Lessons, so at least my pain is worth something:

Never cold email from your main domain, even a clean .com. Buy separate domains for outreach, always.
No cheap TLDs (.xyz, .top, .online) for sending. Saving a few dollars cost me weeks.
Run an inbox placement test on day one, not week three. mail-tester checks your content, it can't see what Gmail thinks of your domain.
A low reply rate might not be your copy. Check deliverability before rewriting a single word.
Warm-up isn't a magic shield. It won't save a bad domain choice or too much volume per inbox.

Questions for anyone who's been here:

Is a burned main domain worth recovering, or do you just retire it from cold email forever?
Google Workspace vs Zoho for sending inboxes: does it really change Gmail placement that much?
With fresh .com domains, how long until you were reliably landing in the inbox?
How many emails a day per inbox do you actually send once warmed?
Anything else I'm missing before I rebuild this a second time?

Gutted, but not quitting. Just tired.
